Online pharmacy software in the UK: how to choose
The four kinds of system
- Pharmacy management systems (PMR). Built for dispensing: labelling, stock, NHS claims, patient medication records, safe handover at the bench. Excellent at the pharmacy side. Not built to run an online storefront or a digital patient relationship.
- Practice management and clinic systems (PMS/EMR). Built around appointments, clinical notes, invoicing and letters for a clinic seeing patients. Strong for consultation-led care. Usually not built around a checkout, subscriptions and repeat online supply.
- E-commerce platforms with a form bolted on. Shopify or similar plus a form app. Great storefront, no clinical spine: no flagging, no prescriber queue, no signed prescription, no audit trail an inspector would accept.
- End-to-end online supply platforms. Storefront, consultation, clinical review, prescribing and dispensing joined up as one patient record, with the patient able to log in, track, message and reorder. This is the category Sync-RX is in.
The two things buyers underestimate
Commerce. Selling medicines online is a retail business wearing a clinical coat. Product pages, checkout, subscriptions, discount codes, abandoned baskets, refunds, delivery tracking, revenue reporting: if the platform does not do these well, growth stalls no matter how good the clinical side is. Digital patient management. The money is in the second, fifth and twentieth order. What to ask any supplier
- Where does the consultation actually live, and can we change the questions ourselves without developers?
- Can patients log in, see their history, message us and reorder without emailing anyone?
- What does the storefront and subscription side look like, and how does revenue reporting work?
- What gets flagged automatically to the prescriber, and who decides the rules?
- Is the prescription signed inside the system, and does that signature meet advanced electronic signature standards?
- What happens to a repeat or subscription order: is there a fresh clinical check?
- Can you dispense, or do we need a separate pharmacy arrangement?
- If we ran two brands, could their data ever touch?
- What comes out if we leave: patients, orders, prescriptions, audit trail, in what format, in how long?
- How is it priced: per user, per site, per consultation, per prescription?

FAQ
What is the difference between pharmacy software and clinic software?
Pharmacy software is built around dispensing and stock. Clinic software is built around appointments and notes. Selling medicines online needs a third thing on top: a storefront and a digital patient relationship, with the clinical record and audit trail running through both.
Do we need a GPhC registration to sell medicines online?
Supply must sit with a registered pharmacy. You either hold that registration yourself or work with a pharmacy that does. Sync-RX works either way.
Can we just use Shopify and a form builder?
You can take the money, but you will not have a defensible clinical record, and you will have no way to look after the patient after the first order. That is what fails at inspection, and what caps your repeat revenue.
What does digital patient management actually mean?
One record per patient holding assessments, photos, blood results, dose changes, orders, prescriptions, messages and check-ins, and a portal where the patient can see their side of it.
How much does online pharmacy software cost in the UK?
